At Bitumax ("we," "us," or "our"), we are committed to protecting the privacy of the visitors and business users of our corporate website (the "Website"). This Privacy Policy explains what personal information we collect, why we collect it, the third-party providers that process it on our behalf, and the rights you have in relation to it. By accessing or using the Website you acknowledge the practices described in this policy. If you do not agree with any part of it, please refrain from using the Website.

  • Information We Collect: We collect the following categories of information:
    • Enquiry and contact information: When you submit an enquiry through a form on the Website, we collect the details you provide, which may include your name, business email address, telephone number, job title, company name, country, and the content of your message.
    • Marketing information: If you subscribe to our newsletter, we collect the email address and any details you provide for that purpose.
    • Technical and usage information: We automatically collect technical data such as your IP address, request metadata, browser type, device and operating system information, and how you interact with the Website. Some of this data is processed for security and abuse-prevention purposes and, where you consent, for analytics.
  • How We Use Information and Our Lawful Basis: We process personal information only where we have a lawful basis to do so:
    • To respond to enquiries: We use the information you submit through our forms to review, route, and respond to your enquiry and to manage the resulting business relationship. Our lawful basis is our legitimate interest in responding to and managing commercial enquiries, and, where relevant, taking steps at your request prior to entering into a contract.
    • To secure the Website: We process technical data to protect our forms and infrastructure against spam, fraud, and abuse. Our lawful basis is our legitimate interest in maintaining a secure and available Website.
    • For marketing communications: Where you have subscribed, we send newsletters and updates about our products and services. Our lawful basis is your consent, which you may withdraw at any time using the unsubscribe link in any message.
    • For analytics and improvement: Where you consent, we analyse aggregated usage data to understand and improve the Website.
    • To meet legal obligations: We may process information where necessary to comply with the law or to establish, exercise, or defend legal claims.
  • Third-Party Processors We Use: We do not sell, trade, or rent your personal information. To operate the Website and respond to enquiries we rely on a limited number of trusted service providers who process personal information on our behalf, under contract and only on our instructions. Enquiry data submitted through our forms is shared with these providers solely to enable us to respond to and manage your enquiry. These providers are:
    • Cloudflare:Provides content-delivery, edge-network, and bot-protection services, including the Cloudflare Turnstile challenge used on our enquiry forms. To detect and prevent spam and abuse, Cloudflare processes technical data such as your IP address, request metadata, and a challenge token. This processing is described in Cloudflare's own privacy policy, available on the Cloudflare website.
    • Mailgun: Delivers the transactional emails generated when you submit an enquiry (for example, routing your message to our team and sending you any acknowledgement). It processes the email address and message content necessary for delivery.
    • MailerLite: Manages our newsletter and marketing subscriptions, including storing subscriber details and handling unsubscribe requests, where you have opted in.
    • HubSpot: Provides the customer relationship management (CRM) platform we use to record and handle enquiries so that our team can respond to you and manage the business relationship.
    • Google Analytics 4: Where you consent, provides aggregated statistics about how the Website is used so that we can measure and improve it. Please see our Cookie Policy for details of the identifiers involved and how to manage them.
  • Other Disclosures: We may also disclose personal information (a) where required to do so by law or in response to valid legal requests such as court orders or government investigations, and (b) in the event of a merger, acquisition, or sale of all or part of our business, in which case information may be transferred to the acquiring entity.

International Transfers: Some of the providers described above operate infrastructure and personnel outside your country, including outside the United Kingdom and the European Economic Area. Where personal information is transferred internationally, we take steps intended to ensure it remains protected, for example by relying on providers that offer recognised safeguards such as standard contractual clauses or an adequacy decision.

Data Retention: We retain personal information only for as long as necessary for the purposes for which it was collected. Enquiry and CRM records are kept for as long as needed to respond to your enquiry and to manage our business relationship, and thereafter for a reasonable period to meet legal, accounting, or record-keeping requirements. Newsletter data is retained until you unsubscribe. Security and analytics data is retained for limited periods as described in our Cookie Policy. When information is no longer needed, we delete or anonymise it.

To exercise any of these rights, please use the contact form on this Website. You also have the right to lodge a complaint with your local data-protection authority.

Data Security: We implement appropriate technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure, or destruction. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
